Staff Meeting Notes
March 22, 2019
- Uniforms - Name tags and shirts must be worn at all times. Office staff will wear black pants as part of the uniform
- Communication - When something is broken and needs fixing. When we are out of something. When items come from FedEx, UPS, etc.
- New Membership Dues and Fees Schedule and other Charges. New dues and Fees are in effect for New Members only. $15 guest fee for new members' guests. Lockers are going to be cleared and rental fees will be introduced. $5 for a day, $10 for a month, and $100 for a year.
- Junior Green Ball Clinics will be held March 27 through May 15 on Wednesdays 4-5:30pm. Fees are $18.50 for 1 hour for Members and $23.50 for Non-Members. Juniors may drop in but encourage them to take the whole season or the remaining part of it.
- Maintenance. Antonio to work on weed whacking the "Meadow" area (behind courts 2&3 and the nearby area). The pool and SPA levels are fluctuating due to the number of swimmers and change of seasons.
- Employee Handbook is being created so everyone is on the same page for all procedures at the Club.
- Teamwork. We all need to be a united team working for the Club and Coach Kim.

3. The Court cracks have been sprayed with weed killer, (perimeter and inside).
4. The Spa filter has been ordered.

2. Website: The website link and Facebook page link will be added to the email blasts, (moving forward). People
will be able to interact, (i.e., post on Facebook, sign up for events, etc.)
3. We must all be consistently aware of where our members/guests are, and what they are doing.
4. Francesca will purchase 3 more flower boxes and flowers for the outside of the 3 other windows in Coach Kim's
office.
5. Keeping everything, (pools, kitchen, floors, storage rooms, bathrooms, mirrors, courtyard, courts, etc.) CLEAN, NEAT
AND TIDY!! More attention to DETAIL.
- Out of the Office. Please take the phone with you and put the "Welcome" sign out for our members and guets to know that they may contact someone at any given time and that someone is always here on property to help them.
- Wearing safety equipment at all times. Please wear the safety equipment the team provides when working with chemicals or using tools, at all times.
- Jean's Celebration of Life. The Team is contemplating that the celebration of life may be held in the month of June (June 23rd)
- Tasks. If you are contemplating working on a task, or in the process of a task, and/or have completed a task, please let the MB team know, so that we are all on the same page.
- Pickle Ball frames. The Palo Alto team has been informed of the rust on the frames and the rust on the courts and looking into a possible solution.
- Tennis Program. So far there are 2 sign ups for the Junior clinic and one more child is coming next week. Adult clinics need to be promoted more by the front desk staff and the coach. The Adult clinic schedule is going to change; different options are being considered for Wednesday clinics.
- Weather. Check the weather apps 2 hours prior to the clinics. The weather is warmer now, the courts will dry quicker.
- Pro Shop. Brand new racquets from Palo Alto were brought to Meadowbrook for sale. The inventory and proposed prices list were created and sent for review. Once approved, the racquets will be put up in the pro shop.
- Maintenance. The Pool and SPA chemical procedures were discussed, in particular, the amount of chemicals needed to be used in different situations.
- Security. The upper gate is now going to be locked when the Club is closed. Multiple "Private Property" signs were put up around the Club.
- Open Discussion. The buildings at the upper deck need to be checked regularly, insuring that there are no leaks, animals and people in there.

- Pike 13 Update
- Calendar Update, Time sheets are now on google docs, and turned in every other Monday, before 9am. The next time sheet will be due to turn in on Monday, January 27, 2020, before 9am.
- Nicole found the covers for the light fixtures above the downstairs bathrooms and Francesca attached them. A new cover for the round light fixture above the Electrical Room door has been ordered and will be arriving here tomorrow, Friday, Jan. 17.
- Billy painted the corners of the Pool Equipment building black, as per Coach Kim's request.
- Billy hung 3 planter boxes under the windows of Coach Kim's office. Coach Kim requested real geraniums be
decorative hanging flowers.
- A ceramic tile reading 3ft was attached to the side of the spa, per the request of the Insurance Agent, and a picture of the tile will be sent to the agent, as well, (per Coach Kim's request to do so.)
- Comcast came out to property to upgrade the cable boxes. There were 4 upgraded boxes received and 3 old boxes returned. The new cable boxes came with new remotes that are voice controlled. There is a 4th box needing to be returned, however, it has not been located. (When it’s found, we will return it.)
- The weeding behind the lower courts has been a work in progress, and is continuing to be as the rains keep coming and the weeds keep coming back. . Leveling the ground is also a constant, and should be done immediately after weeding.
- Nicole is re-organizing the Electrical Room and performing inventory on all of the tennis balls. Nicole had found covers for the light fixtures above the downstairs bathrooms. They have since been attached and look great!
- We received a new Block kit for testing the chlorine and pH in the pools and spa. The kit may not be the right kit for our needs and if it is, we will need to be taught how to use it. Francesca called Erik's Pools and Spa and was told it is $96 for Erik to come out to property to teach us how the new block kit is used. An update will be reported at our next MB Team meeting with regard to either returning the kit, or having Erik come out to property and teach the team the cortex procedure on how the kit it to be used.
- We will make a temporary "Caution, Uneven Surface" sign for the parking lot.
- Billy replaced the net on Court 6.
